Quick Guide to Archiving Users
Archiving a user within your platform is a straightforward process that allows you to preserve the user’s data while disabling their login capabilities. This action is particularly useful for maintaining the integrity of project histories and compliance records without deleting the user entirely. Here’s how to do it:
Steps to Archive a User #
- Access the Backend: Log into your platform’s backend with your administrator credentials.
- Navigate to Users: Go to the ‘Users’ area within the administrator dashboard.
- Change User Role to Archived:
- Locate the user you wish to archive.
- Open their profile and look for the option to change their user role.
- Select ‘Archived’ from the list of available roles.
- Confirm the Change: Save the changes to update the user’s status to ‘Archived’. This will disable their ability to log in while keeping their data intact within the system.
Note: The archived status prevents the user from logging in but ensures that all contributions and data associated with their account remain accessible for reference or compliance purposes. If you delete a user, all their messages, documents and history will be erased.
